Cancellation & Refund Policy

Clear and Fair Arrangements for Cancellations, Rescheduling and Refunds

At Dominis Learning, we understand that schedules can change and that there may occasionally be circumstances where a lesson or programme needs to be cancelled. This policy explains how we manage lesson cancellations, rescheduling, missed sessions, course withdrawals, refunds, Dominis cancellations and statutory cancellation rights.

This policy should be read together with our Terms & Conditions.

The key rules

  • 24+ hours’ notice: rescheduling may be available.
  • Under 24 hours’ notice: normally treated as used.
  • A no-show is normally treated as a used session.
  • A late arrival still ends at the scheduled time.
  • A 14-day statutory cancellation right may apply.
  • Your consumer rights are never removed.

01Scope of This Policy

This policy applies to eligible Dominis services including

  • 1-to-1 Tuition
  • Small-Group Tuition
  • Online Tuition
  • In-Centre Tuition
  • GCSE and IGCSE Programmes
  • AS & A Level Programmes
  • Entrance-Exam Preparation
  • SATs Preparation
  • Revision and Intensive Courses
  • Mock-Test Programmes
  • Academic Assessments
  • Other Paid Educational Programmes

Different programmes may have additional conditions where these are clearly communicated before enrolment.

02Cancelling an Individual Lesson

If a student cannot attend a scheduled lesson, the parent or student should notify Dominis as early as possible.

At Least 24 Hours’ Notice

Where cancellation is received at least 24 hours before the scheduled lesson, Dominis may offer:

  • Rescheduling to an available alternative time

Rescheduling remains subject to

  • Tutor Availability
  • Programme Schedule
  • Available Time Slots

A replacement session cannot always be guaranteed at the exact time requested.

03Cancellation with Less Than 24 Hours’ Notice

Where a lesson is cancelled less than 24 hours before the scheduled start time, the session will normally be treated as used and may not qualify for a refund or replacement session.

This is because the tutor’s time has already been reserved and may not reasonably be reallocated at short notice.

This does not affect any statutory consumer rights that apply.

04Student No-Shows

A no-show occurs when a student

  • Does not attend the scheduled lesson.
  • Does not provide advance notice.
  • Joins so late that the lesson cannot reasonably be delivered.

A no-show will normally be treated as a completed/used session and will not ordinarily qualify for a refund or rescheduling.

05Student Arriving Late

Students should join sessions on time. If a student joins late, the lesson will normally still finish at the originally scheduled time because the tutor may have another commitment immediately afterwards.

Scheduled session
5:00 PM – 5:50 PM
Student joins
5:15 PM
Session still ends
5:50 PM

The missed time will not normally be added to the end of the lesson.

06Exceptional Circumstances

We recognise that genuine emergencies can occur. Where a late cancellation results from an exceptional circumstance, Dominis may consider the situation individually.

Examples might include an unexpected emergency or another serious circumstance outside the family’s reasonable control.

Any rescheduling, credit or refund offered in such circumstances will depend on

  • The Circumstances
  • Evidence Where Reasonably Required
  • Tutor Availability
  • Programme Type

Any discretion exercised by Dominis does not create an automatic entitlement for future cancellations.

07Rescheduling a Lesson

Where a student qualifies for rescheduling

  • The replacement session is subject to tutor availability.
  • A preferred date or tutor cannot always be guaranteed.
  • The rescheduled session should normally be used within the applicable programme period.
  • Repeated rescheduling may be restricted where it creates significant disruption to the programme.

Parents should contact the Academic Support Team rather than arranging alternative lesson times privately with tutors.

08Cancelling a Small-Group Lesson

Small-group tuition operates differently from 1-to-1 tuition because the lesson continues for the other enrolled students.

If one student cannot attend a scheduled group lesson

  • The group session may still take place.
  • The student’s absence does not normally cause the class to be rescheduled.
  • A private replacement lesson is not automatically included.
  • Any recording, notes or alternative support will depend on the programme.

This is communicated clearly when a student enrols in a group course.

09Fixed-Date Courses & Intensive Programmes

Some Dominis programmes operate on fixed dates, for example

  • Revision Courses
  • Crash Courses
  • Half-Term Courses
  • Summer Intensives
  • Bootcamps
  • Mock-Test Programmes

Because tutor capacity and class places are reserved in advance, different cancellation arrangements may apply to these programmes.

Any programme-specific cancellation terms will be displayed or communicated before payment or enrolment. Such terms will always remain subject to applicable statutory consumer rights.

10Cancelling an Ongoing Programme

Parents who wish to stop an ongoing tuition programme should contact Dominis in writing.

Please include

  • Student name
  • Programme / subject
  • Requested final lesson date
  • Reason for cancellation, if you wish to provide one

Any lessons already delivered remain payable. Sessions already booked within the normal cancellation period may also remain chargeable where the applicable cancellation conditions have been clearly communicated.

Future amounts will be handled according to the payment plan and programme terms agreed at enrolment.

11Prepaid Lesson Packages

Where a parent purchases a package of lessons in advance:

  • Lessons already delivered are not refundable merely because the student later decides to stop.
  • Any entitlement relating to unused lessons depends on the package terms communicated before purchase.
  • Statutory cancellation and consumer rights remain unaffected.

We do not apply a blanket rule that automatically forfeits all unused prepaid fees, because UK consumer terms must be fair and transparent.

12Promotional & Discounted Programmes

Discounts, early-bird prices or promotional offers may have specific booking conditions. Where additional cancellation conditions apply, they will be made clear before purchase.

A promotional price does not remove statutory consumer rights.

13Free Demo Sessions

No refund is applicable to a free demo because no tuition fee has been charged.

If a student cannot attend a booked demo, we ask parents to inform us in advance so the slot can be offered to another student.

Repeated missed demo bookings may be subject to availability before another free session is scheduled.

14Cancellation by Dominis

Occasionally, Dominis may need to cancel a session because of

  • Tutor Illness
  • Emergency Circumstances
  • Technical Failure
  • Operational Issues
  • Other Circumstances Preventing Delivery
Rescheduled session
A replacement session at an available time.

Where Dominis cancels a paid lesson, we will normally provide an appropriate remedy. Where no suitable alternative is provided, a credit or an appropriate refund may be offered.

15Tutor Replacement

A change of tutor does not automatically count as cancellation of the educational service. Where a tutor becomes unavailable, Dominis may offer another suitable tutor so that tuition can continue.

We aim to minimise disruption and match the student with a tutor suitable for their

  • Subject
  • Year Group
  • Exam Board
  • Academic Requirements

16Technical Problems During Online Lessons

Problem on the student’s side
Where a lesson cannot be completed because of the student’s internet connection, device, camera / microphone, software or failure to join, the session will normally remain chargeable.
Problem on the Dominis side
Where a substantial part of a lesson cannot be delivered because of a technical problem within Dominis’ control, we will consider an appropriate replacement session or other remedy, depending on the circumstances.

17Statutory 14-Day Cancellation Period

For certain contracts entered into

  • Online
  • By Telephone
  • At a Distance

UK consumer law may provide a 14-day cancellation period after the service contract is entered into. Where this statutory right applies, a consumer can generally cancel during that period without giving a reason.

This legal cancellation right is separate from the 24-hour lesson cancellation rule.

18Starting Tuition Within the 14-Day Period

Many parents want tuition to begin immediately rather than waiting 14 days. Where applicable, Dominis may ask the parent to expressly request that tuition begins during the statutory cancellation period.

If a parent makes that request and subsequently exercises the statutory right to cancel, they may be required to pay for the proportion of the service already supplied up to the point of cancellation.

For example

A parent purchases a 10-session programme and expressly asks for lessons to start immediately. If eligible statutory cancellation is later exercised after two lessons have already been supplied, the refund may take account of the proportionate value of those services already delivered, subject to the applicable legal requirements.

19When the Statutory Right May End

For an eligible service contract, where

  • The consumer expressly requested that the service begin during the cancellation period;
  • The service has been fully performed; and
  • The required acknowledgement was obtained,

the statutory right to cancel can cease once the service has been fully performed.

Our enrolment process records the necessary request and acknowledgement where this applies.

20Refunds During the Statutory Cancellation Period

Where a valid statutory cancellation applies, Dominis will process the refund in accordance with applicable consumer law.

Where tuition has already begun following an appropriate request from the consumer, a proportionate amount for services already supplied may be deducted where the legislation permits it.

Under the Consumer Contracts Regulations, applicable reimbursements are generally required within 14 days of the trader being informed of the cancellation, subject to the relevant rules.

21Refunds for Services Already Delivered

Once a lesson has been properly delivered, it will not normally be refundable simply because

  • The student changes their mind.
  • The student later decides not to continue.
  • A school timetable changes after the lesson.
  • The student does not achieve a particular grade.

However, this does not remove any legal remedy available where the educational service was not provided in accordance with applicable consumer law.

The Consumer Rights Act 2015 requires consumer services to be carried out with reasonable care and skill.

22Dissatisfaction with a Lesson

If a parent has concerns about the quality of a lesson, they should contact Dominis promptly.

Please provide

  • Student name
  • Date of session
  • Subject
  • Description of the concern

We will review the matter and determine an appropriate response. Depending on the circumstances, this may include:

  • Academic Review
  • Tutor Feedback
  • Alternative Tutor
  • Repeat Session
  • Credit
  • Refund Where Legally or Contractually Appropriate

A refund is not automatically due simply because a student or parent preferred a different teaching style, but legitimate service-quality concerns will be investigated.

23Academic Results Are Not Guaranteed

Dominis provides educational support but cannot guarantee

  • A Particular Grade
  • A Specific Exam Score
  • Admission to a Particular School
  • A University Offer
  • A Particular Academic Outcome

Results depend on multiple factors including

  • Attendance
  • Starting Level
  • Student Effort
  • Homework
  • Independent Revision
  • School Performance
  • Examination Performance

A student not achieving a hoped-for grade does not, by itself, create a right to a refund where the agreed educational service was properly supplied.

24Refund Method

Where a refund is approved, we will normally return the money using the same payment method used for the original transaction, unless another method is agreed or reasonably required.

For statutory cancellations, the Consumer Contracts Regulations generally require reimbursement using the same payment method unless the consumer expressly agrees otherwise, without imposing a reimbursement fee.

Bank or payment-provider processing times may mean that the refunded amount appears later than the date on which Dominis issues it.

25Refund Processing

Once an eligible refund has been approved, Dominis will aim to process it promptly.

Where a statutory cancellation right determines the refund deadline, we will follow the legally applicable period. For other discretionary refunds, parents will be informed of the expected processing timeframe.

26Refunds Are Made to the Original Payer

Unless otherwise agreed for a legitimate reason, refunds will normally be returned to the person or payment method from which the original payment was received.

This helps protect customers and reduce fraud.

27Transfer of Sessions

Paid sessions should not normally be

  • Sold
  • Transferred to an Unrelated Student
  • Resold

without prior approval from Dominis.

Where a parent wishes to transfer unused eligible tuition to a sibling, they may contact the Academic Support Team. Approval will depend on:

  • Programme
  • Tutor
  • Subject
  • Level
  • Availability

and is not automatic.

28Programme Changes

Where Dominis makes a substantial change to a paid programme that materially alters what was agreed, we will communicate with affected families and provide an appropriate option according to the circumstances.

This may include

  • Alternative Arrangements
  • Programme Credit
  • Refund of an Affected Undelivered Element

29How to Request a Cancellation or Refund

Requests should be submitted through an official Dominis communication channel.

Please include

  • Parent/Guardian name
  • Student name
  • Registered email / telephone number
  • Programme or subject
  • Session date, if applicable
  • Reason for request
  • Payment reference, where relevant

A request is not considered finally approved until Dominis confirms the outcome.

31Consumer Rights

Nothing in this policy is intended to exclude, restrict or replace rights that consumers have under applicable UK law.

In particular, services supplied to consumers are subject to statutory protections, including the requirement to provide services with reasonable care and skill.

Where this policy conflicts with a mandatory statutory right, the statutory right will take priority.
